Moving a fund off spreadsheets

A migration plan that ends with reconciled history, not a fresh start.

By SRM, Executive Director · Updated October 2026

How do you migrate a fund from spreadsheets to software?

Inventory every spreadsheet and what it calculates; load investors, commitments and historical transactions; reconcile capital accounts and past distributions to the last issued statements; run one quarter in parallel; then move LPs to the new portal at the same URL.

Inventory

List every spreadsheet, its owner and what depends on it. The waterfall and fee models are usually the riskiest.

Load and reconcile

Load history and reconcile every investor's capital account to the last issued statement. Differences are findings, not noise.

Parallel quarter

Run one close in both systems and compare. Then retire the spreadsheets.

LP cutover

Keep the portal URL; announce the change; the mobile app is often what LPs notice first.

Questions

How long does it take?

Six to ten weeks for a fund with history is a good benchmark.
