Choosing investment accounting software
Asset-level accounting, partnership accounting and the general ledger — how they fit together, and what to test before you buy.
What should investment accounting software do for a private fund?
It should record every position at the asset level — cost, income, fair value changes, realised gains, FX — post the results to a multi-currency general ledger, and allocate them to partner capital accounts, so NAV, investor statements and performance all come from one set of entries.
Three ledgers, one set of books
Private fund accounting has three layers. The investment ledger says what the fund owns and earned. The general ledger holds the fund's financial statements. The partnership ledger allocates everything to investors by commitment, class and side-letter terms. In weaker setups each layer lives in a different tool and is reconciled by hand. In strong ones they are the same entries seen three ways.
The checklist
- Multi-entity: master-feeder, parallel, blocker, AIV and co-invest structures with eliminations.
- Multi-currency with FX gains isolated from investment gains.
- Instrument coverage: equity, debt with PIK and fees, fund interests, real assets.
- Allocation rules by commitment, class and investor overrides.
- ASC 946 and IFRS presentation.
- Locked periods, audit trail and auditor access.
- A direct path from closed books to investor statements and the portal.
Common failure modes
The most common is a general-purpose accounting package with a spreadsheet beside it for partner allocations. It works for one fund and breaks at the third. The second is an enterprise system that is correct but so heavy that the GP depends on its administrator for every report.
Questions
Is investment accounting the same as fund accounting?
Fund accounting is the whole books-of-record job; investment accounting is its asset-level layer.
Can we keep QuickBooks?
For the management company, often yes. For the funds, a partnership-aware ledger is the safer choice.
